Why construction site documentation matters
The on-site inspection has been completed and passed. Now comes the part that is often neglected in the hustle and bustle of everyday life: documentation. A printout of the inspection report on thermal paper, which is then quickly photographed, or handwritten notes that have to be typed up later. All of this costs valuable time.
If damage occurs later, the search for the cause begins. In the process of investigating the cause, the contracted companies quickly come under scrutiny from experts. It is precisely at this point that comprehensive documentation of the construction site becomes crucial in order to provide evidence of work carried out in accordance with standards. In the worst-case scenario, a handwritten note cannot be found or is not accepted by the experts. This can lead to significant legal or financial consequences.
Digitalisation from the start: the basis for compliant documentation
When implemented correctly, digitalisation saves valuable working time. Ideally, it should not require the use of a smartphone. When collecting all data required for documentation, it is important to plan for the future right from the start, so that no discrepancies arise when dealing with claims.
Proven and field-tested measuring devices can assist the user right from the testing stage. This ensures that the test is carried out in accordance with regulations. With the Esders Full Service, it is also guaranteed that technical requirements for the measuring device are always met.
Esders’ measuring devices support the standard-compliant testing process through their menu navigation. As an ISO 9001-certified company with numerous products monitored by ATEX and DVGW CERT bodies, we place great importance on ensuring that testing devices operate reliably and in compliance with standards. This provides users with a clear structure for carrying out and documenting their measurements.
Esders Connect: more than just an app
A complete test report consists of more than just measurement data. Using the Esders Connect app or the measuring device itself, important additional information can be recorded quickly and easily. For example: job number, site address, name of the inspector, details of the system being tested, information about the test itself, etc. This data is called Mobile Data Entry (MDE).
Pre-designed input forms capture all relevant information in full. The biggest advantage: test reports are managed almost entirely automatically by Esders Connect and can be sent automatically by email or quickly filtered using the MDE fields. This ensures that the necessary documents can be produced quickly.
What are the warranty periods in the construction industry?
The statutory warranty period in Germany for claims for damages in the construction industry is five years from the date of acceptance. During this period, building contractors are obliged to rectify any defects. Normal wear and tear is not taken into account. However, if a defect is discovered during the warranty period, a new warranty period of five years begins for the rectified work.
What happens in the event of a claim?
In the event of a claim, test reports often need to be provided at short notice. All test reports created in the Esders Connect app are stored redundantly on our servers. This means that no reports are lost – though we hope this safety measure will never be needed.
Are nandwritten notes still valid?
Handwritten notes can still play a role. However, whether they are accepted as evidence in individual cases depends on various factors. Clarifying such issues takes time – time that is often in short supply on a construction site. Digital documentation provides greater certainty in this regard and reduces the effort required for subsequent tracking.
Digitisation of test documentation with Esders
Many Esders measuring devices already enable digital documentation via Esders Connect. This allows test documentation to be digitised directly during the measurement process, from the first measurement value to the finished test report. The Esders Connect measurement package is already included in the Full Service, so you can send as many test reports as you like directly from the construction site to the office or your system, free of charge.
